What are the key points and challenges that the team has faced over the year?

Over the course of one year, in the planning of a single conference, the SWIM team faced what seemed at times like insurmountable challenges.

The team faced the huge expectations that were placed on them thanks to a very successful conference the previous year. Stepping into some very large shoes put additional pressures the team as there was a big expectation for a successful conference.

The team also faced difficulties with communication. There was no clear determination made up front on who would be the deciding authority on various aspects of the conference and this created tension among the team member.

This was further exaggerated when one of the team member became distant from the team as she accepted a permanent position after her summer internship in lieu of returning to school.

The team had difficulties scheduling speakers and getting sponsors. 2013 was a year of budget cuts for many organizations and this left previous sponsors without the budget to again sponsor the event and also left key speakers without funding in their travel budget to attend the event.

This put additional pressure on the team when one of the initial key note speakers was forced for back out of the event late in the planning stage.

The team faced the largest challenge very late in the game as inclement weather threatened everything. They were faced with the tough decision of whether or not to proceed with the conference and had to weigh countless facts in this decision that could impact how the entire SWIM organization was viewed in the future.

What would you recommend, and what decision drivers brought you to this recommendation?

I would recommend that the team position themselves to hold a half-day conference.

They should respondto the attendees immediately and inform them that they conference will go on because ignoring those emails is certain to be creating negativity from those individuals and a feeling like the SWIM team is not keeping them properly informed. The team had allowed things to go so long without making a decision
